  • Overview

    This position is meant for those cast who have already been trained as a Spa Concierge. As needed, the Spa Concierge & Event Coordinator may need to rotate between the Spa Desk, Spa Reservations, Spa Host/Hostess, and Spa Coordinator positions. This position specializes in Spa Group parties and Events ensuring smooth and efficient process for each guest and cast. The Spa Concierge and Event Coordinator is responsible for coordinating guest utilization of Spa and Salon services at PRO Sports Club as well as setting up and following through each and every aspect of their event.   The Coordinator will also attend events to oversee activities or follow-up on services to ensure details are handled as arranged. They will be required to assist at the Concierge desk, Reservations, Lounges and Locker Rooms whenever management is in need of assistance.  Adherence to PRO’s core values and mission statement is expected and critical to the success of the PRO Sports Club and the Spa.

    Responsibilities

    - Thoroughly trains Spa Assistant Group & Event Coordinator and Concierge on all event protocols

    - Responsible for communicating Spa Group & Event policies and/or procedures to all Spa Cast and guests

    - Ensures that both the Spa Asst. Group & Event Coordinator, as well as the Spa Concierge are informed on all necessary aspects of each Group party and or Event, including but not limited to, informing them of upcoming events, communicating correct information, check in/out procedures, providing potential event guests with a tour of the spa and obtaining correct guest information to ensure prompt follow up

    - Monitors Spa Events email and voicemail several times daily

    - Primary contact for all Spa Group & Event guest inquiries and recoveries 

    - Maintain communication with management regarding potential challenges or recovery issues

    - Spa Event Coordinator or Assistant Spa Event Coordinator must attend all parties or events, unless absence is approved by management, to ensure successful experiences and follow up for each guest

    - Monitors Front Desk Communication Books and Spa Dining reservations on a daily basis and communicates signage and floral needs to all front desk cast

    - Assist in the planning and implementation of spa event logistics, including but not limited to registration and attendee tracking, presentation and material support, handling special requests, Event Revenue, and pre and post evaluation services and charges

    - Coordinate all High Tea and pre-ordered group meals with Hostess and Bistro staff including administrative support

    - Ensure orderly planning, coordination and execution of all events by preparing a master calendar of all reserved Spa Group parties and Events

    - Recognize and communicate event/group staffing needs for the Overhead and Technician schedules with all Management

    - Collaborate with Management and Marketing team to enhance promotional opportunities that will increase business and revenue

    - Prepares and works with marketing and Spa Management to create Event Marketing Material

    - Plan and or assist in the planning and implementation of internal special events

    - Coordinates monthly meeting with Management to include booking of the meetings, preparing past, current, and future calendars of events scheduled, log all missed opportunities to discuss in each meeting, brings current and new marketing ideas, reports on any guest situations during any previous events, and prepares monthly/yearly revenue reports

    - Timely follow up with each spa soiree to ensure each group is satisfied with their experience

    - Point person for Executive Locker Room tours, inquiries, registration, and overall guest satisfaction

    - Accurate reporting of Executive Locker Room logs and contracts

     

    Compensation: $17.75 an hour

    Qualifications

    - Minimum of 18 years of age

    - High School graduate or equivalent

    - Preferred two years’ experience in spa industry or hospitality

    - Computer literacy in Microsoft Office, Word, Excel

    - Excellent verbal and written skills, active listener, self-starter, able to make decisions and take initiative

    - Food handlers permit and liquor license required or obtained within 30 days of employment

    - At least 6 months experience as a Spa Concierge

    - Current CPR Certification required (From either Red Cross or American Heart Association) or obtained within 30 days of employment
